How to Save and Send Your Electronic Grant Application to NCALL

Going forward, NCALL will be receiving Self-Help grant applications electronically instead of having to ship paper copies via USPS. Since grant applications are too large to send as an email attachment, even if compressed into a .zip file, best method is to use a cloud storage account like Google Drive, Microsoft OneDrive, or Dropbox.

With a cloud storage account, you can upload your grant application, share it, and collaborate there with your NCALL specialist during the application preparation and review process. Your grant application folder in your cloud storage account is accessible by anyone you decide to share it with, and whoever you share it with does not need to have an account to access it.

If you don’t already subscribe to a cloud storage solution, Microsoft Office 365 (OneDrive) and Dropbox are available at reduced rates for nonprofits. Google offers free Google for Nonprofits accounts that provides Google Workspace which includes Google Drive.



  • Folders function the same in a cloud storage account as on your computer. First create a main application folder to contain your new grant application in your One Drive, Dropbox, or Google Drive.
  • Upload each section of the application inside its own section subfolder into your main application folder.
  • Once all sections of the application are uploaded, share the main folder link with your NCALL specialist. This will allow access to the main folder, all subfolders, and documents, including those you add or edit. Also, be sure to authorize access to your application folder link when you share it by selecting ‘anyone who has the link’. Your specialist will receive an email notifying him or her that they have been allowed access to the files in your application folder in your cloud account, and they also will be able to share your link with anyone else, if needed.
  • Your specialist will review all of the sections of your application and collaborate with you to make any changes, working from your cloud storage account. When the final version of the application is correct, NCALL will download the sections and compile it into the full grant application.
  • Once completed, NCALL will send your grant application to your state RD office.
